1. Who we are
AceLogic International Education Consultancy Pvt. Ltd. ("AceLogic", "we", "us") is an education consultancy headquartered at 1st Floor, Mangalam Junction, Chathannoor, Kollam, Kerala 691572, India. We are the data fiduciary for the personal information described in this policy under the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and its rules.
2. Information we collect
We collect information in three ways.
- Information you give us. Name, mobile number, email address, city, current level of study, marks and academic records, preferred courses, destinations and budget, and any message you write, when you submit an enquiry, booking, course-finder, partnership or callback form, or when you contact us on WhatsApp, phone, email or in person.
- Information collected automatically. Pages visited, approximate location derived from your IP address, device and browser type, referring site and campaign parameters (UTM). We use Vercel Analytics and Vercel Speed Insights, which are designed to work without cookies and do not build cross-site profiles. We store a one-way hash of your IP address for a short period to limit abuse of our forms.
- Information from institutions and authorities. Once you ask us to support an application, we may receive application status, offer letters and fee information from the institution, and may need to share documents you provide with them.
Documents such as mark sheets, passports and financial statements are collected only when needed for an application you have asked us to support, and only through channels you choose.
3. Why we use it
- To respond to your enquiry and arrange counselling.
- To assess eligibility, prepare shortlists and support applications to institutions, scholarships and visa authorities you have chosen.
- To contact you by phone, WhatsApp, SMS or email about your enquiry and application, where you have agreed to be contacted.
- To keep our website secure, prevent spam and understand which pages are useful, in aggregate.
- To meet legal, accounting and regulatory obligations.
We do not use your information for automated decision-making that produces legal effects, and we do not send marketing messages unless you have opted in. You can withdraw that consent at any time by replying "STOP" or writing to us.
4. WhatsApp and phone contact
When you message us on WhatsApp, your number and messages are processed by WhatsApp (Meta Platforms) under its own privacy policy. We use WhatsApp only to reply to you and to share documents you have asked for. We do not add you to broadcast lists without consent.
5. Who we share it with
We do not sell, rent or trade personal information. We share it only with:
- Institutions and authorities you have asked us to apply to, and only the information required for that application.
- Service providers that host our website and data (Vercel, Supabase), send our email notifications and provide analytics, each bound by contract to process data only on our instructions. Some providers store data outside India under safeguards permitted by Indian law.
- Professional advisers and authorities where the law requires it or to protect our rights.
Certification partners (for example IBM, Microsoft or Certiport programmes) receive your details only when you enrol with them, under their own terms.
6. How long we keep it
- Enquiries that do not proceed to counselling: up to 12 months from the last contact, then deleted or anonymised.
- Students we have counselled or supported: for the duration of the engagement and up to 3 years afterwards, so that we can respond to follow-up requests and institution queries.
- Financial records and invoices: 8 years, as required by Indian tax and company law.
- Form abuse-prevention hashes: 30 days.
7. Your rights
You can ask us at any time to:
- tell you what personal information we hold about you;
- correct or update it;
- erase it, where we no longer need it for the purposes above or for a legal obligation;
- withdraw consent to marketing or to a specific use;
- nominate another person to exercise these rights on your behalf.

8. Children
Many of our students are 17 or 18 when they first contact us. Where a student is under 18, we ask that a parent or guardian is part of the conversation and provides consent for the processing described here. We do not knowingly collect information from children under 13.
9. Cookies and analytics
Our website sets only cookies that are strictly necessary for it to work, such as a session cookie for the staff area. Vercel Analytics and Speed Insights measure page views and performance without cookies and without identifying you across websites. Third-party links (for example institution websites, Google Maps or NORKA) are governed by those sites' own policies.
10. Security
Data is transmitted over HTTPS and stored with access limited to staff who need it for their role. Staff accounts are individually authenticated. No method of transmission or storage is entirely secure; if we become aware of a breach affecting you, we will inform you and the relevant authority as the law requires.
11. Changes
We may update this policy as our services or the law change. The date at the top shows the current version. Material changes will be announced on this page.
